 Techstra Solutions is seeking a highly organized and proactive Office Administrator to join our Pittsburgh headquarters. This role is critical to ensuring the smooth day-to-day operation of the office while providing administrative support to leadership and employees. The ideal candidate is detail-oriented, professional, resourceful, and enjoys creating a positive and productive workplace environment.

This position requires strong organizational skills, exceptional attention to detail, excellent communication abilities, and the capacity to manage multiple priorities in a fast-paced environment.

Responsibilities:

  • Field inbound communications - Answer phone calls/general email inquiries and route to the appropriate internal parties as needed.
  • Coordinate scheduling - Set up meetings based on cross-functional availability for both internal and external stakeholders.
  • Organize internal resources - Build out and maintain processes to keep files and office supplies organized and easily accessible.
  • Liaise with visitors - Act as point person for office guests.
  • Communicate policies and procedures - Alert employees of new processes, rules and regulations.
  • Facilitate executive-level operations - Book travel, submit expense reports and send communications for high-level staff as needed.

Requirements:
  • High school diploma
  • 2+ years' experience as an administrative assistant, receptionist, or office management role, preferred
  • Excellent verbal and written communication skills
  • Strong organizational, multitasking, and time management skills
  • Ability to work independently while managing multiple priorities
  • Professional demeanor and customer-service mindset
  • Strong attention to detail and accuracy
  • Self-motivated and a quick learner
  • Proven ability to work in a fast-paced environment 
  • Positive, high-energy attitude
  • Resourcefulness, creativity, and problem-solving skill set
  • Proficiency in Microsoft Office 365 (especially Teams, Sharepoint, Outlook, Word, Excel and PowerPoint)
  • Proficiency with Adobe Acrobat
  • Familiarity with office technologies, including printers, scanners, conferencing equipment, and related business tools.
